Wedding planners are responsible for designing every aspect of the wedding, whether it’s the clothes, the layout or the food. They tend to have excellent people skills, which are needed both to draw clients and to negotiate payment prices with vendors. Yet, wedding planning, (like anything else), is a learning process. And if you do not go through the proper steps involved with learning to be a wedding planner, you won’t be very successful once you start it.

Fortunately, if you haven’t taken the steps because you don’t know them, this article can provide you all the answers you need. In the paragraphs below you will learn three basic yet essential steps needed when learning to be a wedding planner. So, sit back, relax and read on.

1. Get an Education

Getting an education is probably the most obvious step involved when learning to be a wedding planner. It is best if you can get an education that directly relates to wedding planning. You can find most of these types of courses through correspondence schools, such as PCDI or Stratford University. Usually, schools of this nature will send you studying materials through the mail and/or online. You work at your own pace and at the end of the designated term, (which can be up to two years), you will earn a diploma, certificate or even an Associates Degree.

2. Get Real World Experience as a Wedding Planner Assistant

When learning to be a wedding planner, you will need as much real world experience as you do book knowledge. The best way to get real world experience is to look for jobs as a wedding planner assistant. Granted, things will be more of an administrative nature once you get hired, but usually you will be working one-on-one with the wedding planner, giving you an opportunity to fully understand what is involved in the business. It’s a great way to get your feet wet while still earning a more ‘guaranteed’ income. However, you will need a little bit of networking elbow grease to get a job as a wedding planner assistant, since they are not readily advertised on job boards. The best way to do this is to go through your phone book and let each company know you’re available for hire. You can also search through wedding planning enterprises on the Internet. If the business is out-of-state, see if they will accept a telecommuting arrangement.

3. Before Branching Out, Offer Free Services for a Couple of Weddings

After you have gotten thoroughly inundated with the wedding planning world, consider following an even bolder step when learning to be a wedding planner…. free wedding planning for one or two weddings. How can offering one’s services for free help when learning to be a wedding planner? Well, you’re not under as much stress to perform. Also, since you would only be working with just one or two weddings at a time, you won’t have to be overwhelmed with figuring out how you’re going to find time to meet the needs of dozens of other clients. Additionally, people tend to be more understanding if you’re offering a $1,500+ service for free, especially if they are your friends and family. They can overlook an occasional screw-up. You definitely need to be the type of person who uses a notebook or digital day time organizer for all your appointments, phone numbers, and meetings. You can’t be missing small details and need to make sure everything is all on point. If you are not good at keeping organized and effective with time management then wedding consulting is probably not for you.

Also a successful wedding consultants will know the city that they are operating in well. That means understanding where the hot boutique hotels are, elegant lounges to throw after parties or even out of town guests cocktail events, and more. You need to have your finger on the pulse of the city and be a hip person “in the know”.

Sometimes it will be very “hands on” and other times your role will be a bit more of a coordinator. Make Your Wedding Arrangements and Bookings As Far In Advance As Possible

Most facilities, vendors, and planners can be booked more than a year in advance. If possible, take advantage of this window of opportunity. Should something go wrong, it will provide you with more time to make alternate arrangements. Also, be aware that some vendors will actually charge you more if you order or book things at the last minute.

Shop Around and Deal With Trustworthy People

Before booking anything you should shop around and get an idea of current prices for each category of your wedding. Don’t just hire the first caterer you meet with. Ask around with family, friends, co-workers, etc. and get their recommendations about services they may have used. If you want to be extra safe in this regard, you could also call your local Better Business Bureau. They can provide you with any problem information they may have received regarding a particular company.

Get Everything in Writing

It would seem obvious to do this, but a lot of couples tend to go on “faith” of what a vendor says, then are shocked with the vendor doesn’t follow through. Get everything, down to the smallest detail, in writing and be sure both you and the vendor agree on all points before signing any contract. Include exact descriptions, such as if you are ordering flowers: how may bouquets, the exact type and color of the flowers, etc.

Be Aware of The Fine Print

Read any contracts over very carefully. Pay particular attention to their cancellation policy. You want to make sure it includes a provision for a refund of the deposit if you cancel or change your wedding date by a certain time period before your wedding. Of course, reasonably, you would not get a deposit back if you cancelled two days before the wedding. Be sure to also include a written statement on the contract that you will not pay for services and will expect a complete refund on any deposits if the company does not deliver exactly as specified in the contract. A reputable company will respect this clause.

Regarding Photographers/Videographers and DJ’s

When booking these services with a company, often you may wish to have a particular photographer/videographer and DJ for your wedding because you have seen their work or heard their play style and really like it. Make sure this is detailed on the contract with the person’s name. Again, also include the clause that if that particular person is substituted, you will not pay for the service and will receive a refund on all deposits.

This happened at our wedding with the DJ. The one we were told was coming and who knew how our ceremony music was laid out did not show up, and the substitute DJ that showed had no idea how the wedding service was to proceed with the music. There was a mess up with some songs during the ceremony and we had no recourse, as we didn’t include that provision in the contract. So be aware of this. Don’t pay for a last minute substitute (unless you were thoroughly happy with their service).

If you’re planning a wedding, it can be very tempting to actually hire a wedding planner. After all, there is so much involved in planning a wedding. There’s the guest list, seating, the food, the appetizers, the cake, the flowers, and much, much more. Hiring a wedding planner can get very expensive, however. Wedding planners are in high demand, and quite understandably so, as they take most of the stress involved in getting a wedding put together but not everyone has the money to hire one.

You can become your own wedding planner, however, if you just know how to make a wedding planner list. Making a wedding planner list is easier said than done. You don’t want to leave anything out and you want to make sure you include everything possible so that you have the most perfect wedding possible.

Sample Lists

If you don’t know all that’s involved in making a wedding planner list, you’ll need to get a sample list so that you know what you need to include. You can find sample lists online, you can ask your friends and family for their lists of what they included in their weddings, or, if you know one, you can ask a real life wedding planner.

You should know, though, that not all weddings are created equal. Some may only cost around ten thousand dollars or so and some may cost thirty thousand dollars or more. It really depends on your budget, your taste as well as the number guests you’re planning on attending. Once you put that all together, you should be able to come up with a coherent list that everyone will be able to work with.

The Basics

If you want to start from scratch, just start with the basics. You know you need a guest list, and you know you need to feed those guests. Start there. Some people, in an attempt to save money, have become creative with their wedding planner lists. They use recycled paper, and some even use leaves, for their guest cards. You can pretty much create any sort of wedding planner list you want as long as the bride and groom are happy with it.

If you happen to be one of them, the bride or the groom, then you’re safe. However, if you’re making a wedding planner list and you don’t happen to be the bride or the groom, making one of them unhappy with your choice of wedding planner list is very unwise.

This career, of course, is coordinating weddings. Becoming a professional wedding coordinator, glamorous as it is, requires a high level of patience and organizational skills. In fact, without these skills, your days as a wedding planner will be short.

If you can’t soothe a nervous bride with a few calming words, off the top of your head but that have the magic required when dealing with brides, you might want to reconsider this as a career choice. Ah, but if you can, a spectacular career is in store for you. Of course, it takes far more than this, but passing this test determines a lot, just as failing it will too.

After you’ve been contracted to oversee the wedding coordination, you’ll spend a lot of time with not only the bride and groom, but with their families, caterers, jewelers, photographers, the gown designer, the tailor who’s handling the tuxedos, the baker who’s designing the wedding cake and those in charge of the venue. That’s just in the first half of the planning phase! Your first goal, as you might expect, will be to sit down with the bride and groom and speak extensively about their expectations, the guest list, the invitations, the date, the “plan B” in case of inclement weather, the bridesmaid’s gowns, the theme, the food, the champagne, whether or not it’s an open bar or even if alcohol will be served, the honeymoon and many other details that will surely rest on your shoulders.

Your goal is to take the burden off of the families so that they can enjoy this exciting time. This is where your organizational skills will come into play. Most wedding coordinators will find the best software program or better still, many create their own programs, complete with templates, calendars and reminders of upcoming deadlines so that nothing is left undone. It’s an overwhelming task. But when you pull it off and it’s beautifully coordinated, you know you’re hooked. Despite the exhaustion and the stress of trying to remember what you forgot - and yes, coordinators spend many sleepless nights trying to remember what they forgot - it’s an incredible sense of accomplishment knowing you played a role in the first important day of a new marriage.

Your career in wedding planning will require you to be part psychologist, teacher, negotiator and errand-runner. You’ll spend hours sweating over the bows for the chair backs, meeting with the baker to insist every iced rose petal is perfectly placed and hovering over the seamstress to double check every stitch made. You’ll have a budget that’s sure to fluctuate from day to day and you’ll have an increasingly nervous bride up until the big day when your nervous bride becomes a basket case and you just know if you can get her down the aisle before her makeup runs, you’ll have accomplished the impossible. And lest we forget the in-laws; you may find yourself playing referee at times.

So is it worth it? Actually, yes. Experts say as long as you remain both patient and dedicated and are willing to bend with the almost-certain changes along the way, wedding coordinators have the potential earn handsome incomes.  According to the Association for Wedding Professionals International, nearly 80% of wedding planners work for themselves. About half of those have an assistant. Because there are no universal accepted minimum requirements or guidelines, many find themselves learning through experience and holding on to what works best and quickly dropping those efforts that weren’t as effective.

You’ll also have to determine how you’ll define your services and what you’ll offer. Will you organize the entire wedding? Perhaps you’re more comfortable with a shared workload between you and the engaged couple where you’re involved to an extent, but you won’t carry the lion’s share. There are also those coordinators who are involved only on the day of the wedding to ensure guests are seated, the veil makes it to the church, and the bridesmaids are coordinated and other unexpected happenings.

Income levels are as varied as the planners themselves. There are those extremely successful coordinators who bring in $200,000-plus per year and then there are those who work part time and may earn less than $10,000 annually. Unlike many careers, those in this industry determine how much they make. The work is there for the truly gifted.  After all, there are thousands of weddings every weekend of the year across the country. And a growing number of these weddings include the services of wedding planners.

Although there are no required certifications or even state regulations wedding planners must adhere to, it’s always wise to back up your name with a certification in hospitality or other areas. Another recommendation is to become a member of your state’s Better Business Bureau. When you’re contacted, encourage your client to ask questions, provide reassurance in your abilities and don’t forget the references. Before long, you’ll be booking these happy occasions every week. And finally, it’s important to remember that word of mouth plays a large role in your success, so be sure the bride and groom are pleased with the final project. Your success is only as good as your last event.
